Preparing the Statement of Activities in NetSuite

The following instructions are for preparing a statement of activities in the format here: http://www.cof.org/files/Documents/WebNotebook/December2003/ABC_Sample_FS.pdf

It is assumed that the financial dimensions are configured in the preferred NetSuite structure.

In general, most nonprofits use the comparative income statement with column set to "Fund" for operational management of activities. This is native & real time inside of NetSuite & can be emailed to executives and board members on a regular basis if so desired.

  1. Unrestricted, temporarily restricted and permanently restricted columns
    1. Run the NetSuite income statement for the current period
      1. Set column to "Fund" (NetSuite Class)
    2. Export to Excel, transfer key values to your Statement of Activities in your preferred format.
  2. Current year and prior year columns

    1. Run the NetSuite comparative income statement  for the current period

      1. Do not set the report column
    2. Export to Excel, transfer key values for the prior year to your Statement of Activities in your preferred format
  3. Net Assets beginning of the year
    1. Run the NetSuite balance sheet for the beginning of the year
      1. Modify so Equity is broken out from Liabilities
      2. Set column to "Fund" (NetSuite Class)
    2. transfer key values for the prior year to your Statement of Activities in your preferred format
  4. Net Assets end of year
    1. Run the NetSuite balance sheet for the end of the year
      1. Modify so Equity is broken out from Liabilities
      2. Set column to "Fund" (NetSuite Class)
    2. transfer key values for the prior year to your Statement of Activities in your preferred format
  5. Change in Net Assets
    1. Calculate in your your Statement of Activities in your preferred format

Statement of Financial Position

    1. Run the NetSuite income statement for the current period
      1. Set column to "Fund" (NetSuite Class)
    2. Export to Excel, transfer key values to your Statement of Functional Expenses in your preferred format.
      1. Discard revenue information
  2. Current year and prior year columns

    1. Run the NetSuite comparative income statement  for the current period

      1. Do not set the report column
    2. Export to Excel, transfer key values for the prior year to your Statement of Functional Expenses in your preferred format
